Overview

Under the direction of the Operations Manager, performs daily tasks required to support the current and potential customer base and service technicians.  Prepares reports as requested. Interacts with existing customers, primarily by phone, to insure timely dispatching of technicians. Relies on experience and judgment to plan and accomplish goals.  A certain degree of creativity and latitude is required.

Responsibilities

This position supports our service team by performing the following functions:

  • Maintain computerized dispatch software system

    Maintain job and contract folders

    Generate, mail and file invoices in a timely manner

    File reports and invoices

    Schedule manpower taking into consideration the expected complexity of the job versus the experience and capabilities of available technicians

    Prepare payroll and timesheet audit, read technician service reports

    Order parts, order and track tools, schedule vehicle repairs

    Maintain tracking systems and various databases

    Interact with employees, customers and vendors

    Other duties may be assigned as necessary

Essential Skills & Requirements

  • HVAC knowledge and dispatching experience a plus

  • High School Diploma

  • Time Management: the ability to organize and manage multiple priorities

  • Strong database and computer skills including: MS Word and Excel; Timberline Service Dispatch Software a plus

  • Strong customer orientation

  • Excellent interpersonal and communication skills.

  • Strong team player
